Document settings: how your quotes look
Number range, template texts, VAT including the small-business rule, validity period and PDF layout — the defaults for every new quote.
Under Settings → "Documents" you find the "Document settings" ("Configure number ranges, template texts, tax defaults and layout for your quotes."). They set the defaults with which every new quote starts, and are reserved for the admin.
The areas
- "Number ranges" with prefix, year, next number and live preview; covered in detail in the number range article.
- "Template texts" with the default "Introductory text" (up to 2000 characters) and "Closing text" (up to 5000), which every new quote receives pre-filled.
- "VAT" with the "Default VAT rate (%)" (preset 19) and the toggle "Small business (§19 UStG)" plus an adjustable note ("In accordance with §19 UStG, no VAT is charged."). With this, quotes calculate without VAT and carry the mandatory note.
- "Validity" with the "Validity period (days)" for the automatic "Valid until" on new quotes (default 30).
- "Document layout" with the "Company color" (hex value), the "Logo position" (left or centered) and a "Footer text" (up to 500 characters) for the PDF.
At the very bottom of the same page sits the section "Deckblatt & Anhang" (cover page & appendix): a ready-made "Deckblatt" (exactly one PDF page) is placed in front of every quote, an "Anhang (z. B. AGB)" is attached at the back, both unchanged and without a footer or page number. The uploads take effect immediately and do not depend on the save button.
