Validity and expiration of quotes

Every quote has a valid-until date. What happens when it passes, why expiring isn't the end — and where the remaining time becomes visible.

Every quote carries a required "Valid until" field. On creation it is prefilled with a fixed today plus 30 days and is freely changeable per quote. The "Validity period (days)" from the document settings (Settings → "Documents", "Validity" section, default 30 days), by contrast, only takes effect for new versions, supplements and copies. You change the date afterwards on the quote itself in the "Texts & details" card (sidebar → Offers → open the quote). The date must not lie in the past.

What happens when it passes

Sent quotes whose date passes are automatically set to "Expired" by a nightly run. Drafts never expire; they simply stay in the draft pile. Independently of this, the customer portal shows the customer "expired" directly based on the date. That is the same state internally called "Expired", just named differently. The "Open quotes" dashboard widget warns beforehand with the remaining time: "{n} days remaining", "1 day remaining", "Expires today".

Expired isn't lost

An expired quote can still be accepted or rejected — but only internally. From the expiry date onwards, the customer portal only shows the note "Dieses Angebot ist abgelaufen." (this quote has expired); accepting and rejecting are no longer available there, downloading still is. So if the customer comes back after six weeks with a yes after all, nothing stands in the way — you set the status yourself.

If instead you want to re-quote with a fresh deadline (and possibly current prices), create a new version; it recalculates the "Valid until" from the default period.
