The quote as a PDF
Downloading a PDF always works — but whether your company details and logo appear depends on your master data. And once it's sent, the state freezes.
The "Download PDF" button is always available — Gantway never blocks the download; every role that may see the quote may download it. You will find it via the sidebar under Offers → open the quote, at the top of the quote header. What appears in the PDF, however, depends on your master data.
When company details are missing
If the street or city is missing from your company master data, the warning "Company master data incomplete — the PDF may be incomplete." appears. The PDF is still created — just without a complete sender address. A customer will notice immediately; add the details under Completing your company profile.
The logo only appears if it has been uploaded to Gantway — a logo that only lives on your website is unknown to the PDF.
You maintain the template texts (introduction text, closing text) and the number range under Settings → "Documents" — the page there is headed "Document Settings". The file name follows the quote number including the version, e.g. AG-2026-0001-v1.pdf.
Your own cover page and appendix
From the Pro plan onwards, Settings → "Documents" contains the "Deckblatt & Anhang" (cover page & appendix) section. The page is reserved for the admin. There you store two PDF files of your own: a cover page (exactly one page, up to 5 MB) and an appendix, e.g. your terms and conditions (up to 15 pages, up to 2 MB). Both are taken over unchanged — the cover page in front of the quote, the appendix behind it — and carry neither a footer nor a page number; the quote's own page count is unaffected.
On sending, Gantway records which versions applied. If you swap the cover page later, quotes already sent do not change.
Limits
At most 500 line items per PDF, 30 seconds of processing time, 10 downloads per minute. In everyday use you'll hit none of these — for extreme cases, splitting them up helps.
The customer downloads it themselves
In the customer portal the customer has a "Download as PDF" button — in every state, including after acceptance, rejection and expiry. They receive exactly the same document as you, cover page and appendix included.
