Travel flat rate by distance
Set up a distance scale like "up to 10 km" once, enter the distance on the customer — and the quote suggests the matching flat rate as its own line item.
For the quote to suggest the travel charge on its own, two things must be in place: your distance scale, and the distance on the customer. Start at Settings → "Rates & Costs" in the card „Anfahrtszonen" (travel zones) — by default for admin and planner.
Setting up the scale
The button „Zone hinzufügen" (add zone) opens a dialog with four fields: „Bezeichnung" (name), „bis … km" (up to … km), „Verkauf (€)" (sale) and „Einkauf (€)" (purchase).
- The zone with the smallest matching upper limit always wins, and the limit itself counts: "up to 25 km" still applies at exactly 25.0 km.
- Two zones must not share the same upper limit — otherwise it would be undecidable which one applies.
- The purchase price is optional and never appears on the quote. It only serves your margin, so the trip isn't booked as pure profit.
If a customer lives farther away than your largest zone reaches, Gantway deliberately suggests nothing instead of silently picking the most expensive tier. If you want a catch-all, create it yourself — for example "up to 999 km".
The distance on the customer
In the customer form, below the address, sits the field "Distance (km)" — "One-way distance from your business. Determines the travel flat rate on quotes." You can add it any time: Customers → open the customer → tab "Master Data" → "Edit". Decimals are allowed ("18.5" is entered as "18,5"). The distance also travels along in the customer import and export.
Adding the line to the quote
Sidebar → Offers → open the quote → card "Offer Positions", button „Anfahrt hinzufügen" (add travel; below an existing list it is just „Anfahrt"). This only works while the quote is still a draft; by default, admin, planner and team lead may add the line.
The dialog opens with the matching zone already selected and the prices pre-filled; everything stays editable: „Zone", „Anfahrten" (number of trips — enter 2 for two journeys), „Verkauf (€)", „Einkauf (€)" and „Bezeichnung im Angebot" (the label on the quote), which defaults to "Anfahrtspauschale". If the distance is missing or no zone fits, the dialog says exactly that and lets you pick zone and price yourself.
The finished line carries the marker „Anfahrt", counts toward the quote total and appears the same way in the PDF and in the customer portal.
