Understanding the costing
Where the numbers in the markup panel come from: five cost types, the order in which Gantway searches for an hourly rate, and the warning when you quote below your own costs.
While you enter positions, Gantway calculates along in the background: what does this work cost you — and what is left over?
The five cost types
Labor, materials, machine, other, overhead. You maintain the rates behind them under Settings → "Rates & Costs": hourly rates per qualification, per employee, per machine, plus overhead surcharges. By default that page is reserved for admin and planner. Recurring „other“ items such as disposal or packaging do not have to be typed in every time — there are templates for them.
For the labor cost of a position, Gantway searches for the internal hourly rate in a fixed order — the first available value wins: rate stored directly on the position → rate of the assigned employee → rate of the qualification. If it finds none, it calculates with zero — and warns: "Hourly rate missing." Take this warning seriously, otherwise the margin looks better than it is.
The markup panel
In the "Markup" panel — in the finance column of the quote (sidebar → Offers → open the quote) — four numbers sit side by side: "Calculated Cost (net)", "Offer Total (net)", "Markup (EUR)", "Markup (%)". In short: what it costs you, what you charge, what is left over. By default, only admin and planner see and change the costing with its purchase prices; the team lead sees the sale prices only.
The bottom-line totals
"Subtotal", "Discount", "Net", "VAT", "Gross total" — all rounded to two decimals. Two rules along the way:
- The discount applies only to regular positions — optional items remain untouched.
- Optional positions appear separately as "plus optional services" and are not part of the total.
