Gantway employee profile with qualifications and history
How you work with it
Every profile bundles exactly what planning needs: the working-time model and weekly hours determine capacity, the hourly rate flows automatically into every costing, and qualifications decide who a task can be assigned to. When a qualification changes, the change remains historically traceable. The task history shows, per person, what they worked on and what they logged — the best basis for staffing and the next performance review. Everything is maintained in one place and applies everywhere: in planning, in the team dock, in costing.
Working-time model per employee
Full-time or part-time, weekly hours, optional weekly schedule Mon–Fri, shifts. The model feeds into capacity planning and into the working-hours-law (ArbZG) check of the time clock.
- Full-time or part-time, weekly hours, weekly schedule, shifts
- Feeds capacity planning and the time clock checks

Also included
All personnel data in one profile
Name, personnel number, date of birth, address, contact, contract type, start and end date, profile picture. Everything you need for the personnel file — without having to maintain a second HR system.
- Name, personnel number, contact details, contract type
- Start and end date, profile picture
- No second HR system needed
Hourly rate that stays fixed in sent quotes
One hourly rate per employee that flows into the costing. When a quote is sent or an order is released, the costing is frozen — the hourly rate at that time stays permanently anchored in the record, even if the rates are adjusted later. That way you get no retroactive shifts in quotes that have already been sent.
- One hourly rate per employee, automatically in every costing
- Frozen when a quote is sent or an order released
- Later rate changes never shift anything retroactively
Qualifications from a fixed catalog
The admin creates a catalog of qualifications per tenant — for example CNC, welding, class C driver's license, crane license. Employees are assigned qualifications from this catalog. Consistent naming instead of wild tags, and the qualification can be cleanly linked as a requirement per task. When a task is assigned, the software automatically checks whether the employee has the required qualification — if it is missing, a warning appears. The assignment is still possible, though: the planner decides deliberately.
- One catalog per company, e.g. CNC, welding, crane license
- Qualification as a requirement on the task
- Warning on assignment if it is missing — the planner decides
Carry over the overtime balance from your old system
At system start, you can enter the current overtime balance for each employee. That way you do not have to start "from zero" but can migrate seamlessly from the old system.
- Enter the overtime balance at the start
- Switch seamlessly from your old system
Task history per employee
For each employee, all completed and open tasks so far, with date, order, and logged hours. Helpful for staffing, training needs, and performance reviews.
- All completed and open tasks per person
- With date, order and booked hours
- Basis for deployment planning and reviews
Three typical situations
- Onboard a new employee: A new journeyman starts — you create their profile, enter contract, hourly rate, qualifications, vacation entitlement, and opening overtime balance. From the first working day, they factor into planning.
- Assign a specialist task: A CNC task appears on the desk. You filter the employee list by "CNC" and immediately see who is qualified and who is not fully utilized.
- Prepare for a performance review: You open the profile and look at the task history of the last twelve months. Which orders did they work on, and how did the planned-versus-actual ratios look? A data-based conversation instead of gut feeling.
Step by step in the help center
- Work center, station, qualification — what is what?Three terms that easily get muddled when you set up your master data. Here is what sets them apart and what Gantway needs them for.
- Master data: workstations, stations, qualificationsThe three resource catalogs of planning in detail — with the capacity semantics, the qualification hourly rates and the admin-only tab.
- Team: the personnel master dataAll employees of the business — with or without system access. Fields, access badges, the employee profile and the difference from the access accounts.
- Assigning employeesOn the task or by dragging from the team dock — two ways to put someone on a task. From 90% weekly utilization, Gantway asks first.
- Team dock: reading utilizationWho still has room? The team dock beneath the Gantt shows utilization — with a color logic that deliberately differs from the scheduling dialog.
