For interior fit-out, retail fit-out & hotel interiors

Five trades, six sites,
one deadline that is business-critical for the client.

In interior fit-out you don't coordinate your own production — you conduct outside capacities on a site that isn't yours. Cabinetmaker, painter, electrician, floor layer, plumber: if one link falls out of the chain, it costs the next day. Gantway makes visible who is currently setting the pace and where the critical path runs.

Trade dependencies as a planning chain: the painter only starts once drywall is finished. Reschedules cascade automatically.

A typical interior fit-out company

Day-to-day looks exactly like this —
and that's precisely what Gantway is built for.

25
employees: in-house cabinetmakers, painters, floor layers, helpers
6
parallel sites, each in a different phase
5
trades per site — of which 2–3 subcontractors
16 wks
average project duration per site
3
trained foremen allowed to sign off on fire protection

With Excel and WhatsApp it works until the first chain breaks. Beyond two parallel sites, no overview you keep in your head is enough anymore.

Das Problem

Five points where interior fit-out projects
predictably fall behind.

01

Trade dependencies exist only in people's heads.

Drywall before painting, screed before flooring, electrical chasing before plasterboard — every pro knows these sequences by heart. Only: if the tiler finishes two days early and the floor layer doesn't hear about it, the floor layer stands ready too late. These chains run through phone calls and reminders today. Overlooked once, the chain reaction begins.

02

Subcontractors shift — and drag everything along with them.

The electrician has three sites of his own. He comes a day later. What that means for the painter who wanted to start after him, no one works out immediately. Every subcontractor shift is a manual coordination round today — callbacks, new arrangements, hoping the follow-up dates still fit.

03

Six sites, thirty open tasks — the overview lives on WhatsApp.

Which site is in which phase today? Who is standing where? What is blocking project 4 while project 2 runs? No tool answers these questions in a single view today. Instead: status rounds, photos in the chat, callbacks to the site manager. Planning happens in the owner's head — and that is the tightest bottleneck in the business.

04

Qualifications are spread unevenly across the sites.

Three foremen in the company are allowed to sign off on fire-protection work. Two fitters can install acoustic ceilings. If site 3 needs both at once and site 5 does too, a conflict arises that no one sees early today. The result: a qualification is missing, the task waits, the deadline slips.

05

Short-notice changes hit an unplanned plan.

Three weeks before opening, the hotel investor decides that two rooms should be fitted out differently. What that means for materials, trade sequence and overall deadline, no one can say immediately without a system. Whoever has no plan can't adjust one.

Wie Gantway hilft

The features that make the difference
in interior fit-out.

Station utilization with traffic-light colors in Gantway

All sites on one board — with 8 zoom levels.

The digital desk shows you all active orders in board or Gantt view: which trade is active, what is blocked and what starts next. From the weekly overview to the day plan, you zoom with one click. Reschedule via drag & drop on the tablet, right on the site.

Tasks with status badges inside an order

Finish-to-start: trade B only starts once trade A is signed off.

Tasks get dependencies following the finish-to-start principle. The floor-layer task automatically starts only after the screed task has been marked done. If the predecessor shifts, the successor shifts with it — and you see in the plan which trade chain is at risk before it becomes visible on the site.

Order management with dependencies

Station overload as a conflict marker

Conflict engine: dependency violations visible immediately.

Six conflict types — including dependency violation and double booking — Gantway checks automatically when scheduling. When the painter is supposed to start although the drywall hasn't been signed off yet, the system raises the alarm. No bottleneck arrives as a surprise on the site anymore.

Employee pool for assigning via drag & drop

Qualification check: who is allowed to do what — and are they available?

Employees get qualifications in the system: fire protection, acoustic ceiling, installation certificate. When scheduling, Gantway automatically checks whether the assigned employee has the necessary qualification and whether they are tied up on another site at that time. The first conflict is found before the deployment plan goes out.

Planned and actual values as KPI tiles in controlling

Pre- and post-costing: what the order really cost.

In interior fit-out, the costing and reality often diverge — change orders, subcontractor extra costs, material changes. Gantway captures labor, materials and external trade hours and sets them against the initial costing. After every project you see which order types deliver margin and where the next costing needs adjusting.

Pre- and post-costing

Time clock with a large clock-in button

Mobile time tracking: log hours right on the site.

Your fitters clock in via smartphone — without the detour to the office. The logged hours flow directly into post-costing and show how much time which trade spent on which project. For subcontractor services, you enter the confirmed hours manually.

What structurally sets interior fit-out apart from other trades

You don't plan your own production —
you conduct outside capacities on outside terrain.

A joinery plans when its machines and staff work on which order. In interior fit-out you coordinate trades that are their own businesses, have their own workloads and make their own decisions. The opening date is yours all the same.

Backward planning from the opening date

Opening dates are fixed — not because you want it that way, but because the client has hired staff, booked ad campaigns and confirmed suppliers. Gantway plans backward: you enter the completion date and see immediately which trade chain has to be scheduled backward from it and where no buffer remains.

Subcontractors as plannable capacities

External trades — tilers, electricians, plumbers — are not unknowns in the system but their own capacity units with availability, assigned tasks and schedule status. When a subcontractor shifts, you see in the same breath which follow-on trades are affected.

Dependency chains as the planning basis

Drywall, painting, flooring, furnishing — this sequence is not negotiable. Gantway maps every trade-to-trade dependency as a finish-to-start link. A delay drags all dependent tasks along automatically and shows you the new critical path while there's still time for countermeasures.

Track changes before they endanger the deadline

Clients change plans — that's interior fit-out. What matters is how fast you can work through the consequences of a change: which tasks are affected, what has to be canceled or reordered, does the critical path change? With Gantway you adjust the order and immediately see the impact on the overall deadline.

FAQ

Frequently asked questions. Answered briefly.

How do I keep track of several interior fit-out projects at once?

All projects sit on one planning surface in Gantway — zoomable from hourly detail to the monthly overview. You see which team is committed where before you promise the next project, and collisions are reported instead of discovered.

The Digital Desk in detail

Does Gantway also work on site?

Yes. Gantway runs in the browser on tablets and smartphones — no app installation. Fitters clock their hours on site, and the office sees task status live instead of on a note on Friday.

Can we plan installation teams and the workshop together?

Yes — capacity, qualifications and vacations of all employees live in the same system. Someone producing in the workshop cannot be scheduled on site at the same time; approved vacation is checked against project planning first.

What does project planning software for interior fit-out cost?

Gantway bills by active accounts, in three plans — scheduled employees without a login cost nothing. You start with a free 14-day trial, no credit card.

How do we switch from our current planning to Gantway?

Start small: orders and capacity first, then materials and hours. Gantway is deliberately lean, and as a pilot business you talk directly to the developers during the switch — no ticket system, no hold music.
