Creating a quote
Customer, title, validity — that's all it takes to start. And something happens in the background you should know about: the eventual order is created right away too.
An offer needs three entries, then it exists.
How to create an offer
- Open Offers in the sidebar.
- Click "New Offer". The page with the "Angebotsdetails" (offer details) card opens.
- Pick the customer under "Select customer" — the field searches as you type. An offer always belongs to a customer.
- Enter the "Title", up to 500 characters; the field suggests "z.B. Angebot Küchenumbau" (e.g. quote for kitchen refit).
- Check "Valid Until". The date is preset to today plus 30 days and must be set.
- If needed, enter the "Delivery date (optional)", i.e. the date you promise the customer. If you leave the field empty, the offer carries no delivery date.
- Click "New Offer" at the bottom. Gantway reports "Angebot erstellt" (offer created) with the note "Sie können jetzt Positionen hinzufügen." (you can now add positions).
Next come the offer positions. Gantway assigns the offer number automatically from the number range you set under Settings → "Dokumente" (the page is titled "Dokument-Einstellungen").
The delivery date in the offer
The delivery date is your promise to the customer, not a result calculated by the planning. Gantway stores it on the order behind the offer (see below) and shows it in three places: on the offer in the info line next to "Valid Until", in the PDF as the line "Liefertermin:" (delivery date) and in the customer portal. If no date is entered, the line is missing everywhere.
As long as the offer is a draft, you change or remove the date in the "Texts & details" card via "Edit". On sending, Gantway locks it in: if someone later changes the delivery date on the order, the sent or accepted offer, its PDF and the customer portal keep showing the date that applied when it was sent. A new version and a supplement take the date over; a copy via "Duplicate" does not.
If you create the offer via "Neues Angebot" (new offer) in the "Quotes" tab of an existing order, the field is pre-filled with that order's delivery date. Below it reads: "Prefilled with the order's delivery date. A change applies to the order; clearing the field removes the date." If the date stays unchanged, the order keeps it; a different date replaces it, and if you clear the field, the order no longer has a delivery date afterwards. While the order's date is still loading, the field and the create button are briefly locked. What the planning does with the delivery date is covered in the article Delivery date.
Who may do what
By default admin, planner and team lead may create offers. Only admin and planner may edit and send them: the team lead can prepare an offer but not send it out. The full overview is in Roles and permissions.
