Quote versions: renegotiate without chaos
A new version keeps the quote number, pulls fresh customer data — and invalidates the old portal link. When it is possible and what happens to the old version.
The customer wants to renegotiate? That is what "Create New Version" in the quote header is for (sidebar → Offers → open the quote) — instead of bending the sent quote out of shape, you get a clean new version.
When a new version is possible
The button appears only for the statuses Rejected, Sent, or Expired — and only on the current version. By default, admin, planner and team lead may create new versions — only admin and planner can then send them. Drafts do not need a version (they can still be changed); accepted quotes get a supplement instead.
What the new version does
- It keeps the base number with an incremented version suffix ("AG-2026-0042-v2") and starts as a Draft — fully editable.
- All line items, groups, and the quote materials are copied.
- Customer data is pulled fresh from the customer records, and the "Valid until" is recalculated (today + default validity period).
What happens to the old version
The old version is kept as a record but becomes read-only (badge "Old version (read-only)") and can no longer be accepted — not even by the customer:
The "Version History" on the quote shows all versions with status and total; the current one carries the badge "Current version". The quote list always shows only the current version. A distinction: "Duplicate" does not create a version but an independent quote with a new number.
