Angebote & Kalkulation

Positionen, Kalkulation, PDF und Kundenportal.

  1. Creating a quote

Customer, title, validity — that's all it takes to start. And something happens in the background you should know about: the eventual order is created right away too.

  2. Adding line items

Every line item is also a work step — that's the most important quirk of the quoting system. Line item types, fields, and the qualification requirement.

  3. Understanding the costing

Where the numbers in the markup panel come from: five cost types, the order in which Gantway searches for an hourly rate, and the warning when you quote below your own costs.

  4. Material line item from inventory

Add an item from inventory to the quote — with a locked purchase price and an adjustable sale price. And why no material demand arises yet.

  5. The quote as a PDF

Downloading a PDF always works — but whether your company details and logo appear depends on your master data. And once it's sent, the state freezes.

  6. Customer portal: acceptance

Your customer opens a link, sees the quote without logging in, and clicks "Accept" or "Decline". What sending really does — and what it doesn't.

  7. Scheduling an accepted quote

The quote is accepted — but there is no "Create order" button. Why that is, and how the order reaches the workshop with a scheduled date.

  8. Quote versions: renegotiate without chaos

A new version keeps the quote number, pulls fresh customer data — and invalidates the old portal link. When it is possible and what happens to the old version.

  9. The supplement: additional work on an ongoing order

Extra work on an accepted quote? A supplement is a separate add-on quote — when accepted, its line items flow into the main order.

  10. Quote statuses: from Draft to Expired

Five statuses, clear transitions — and the pivotal moment when you send, when the costing and line-item list are frozen.

  11. Discounts in a quote

As a percentage or a fixed amount, on a single line item or the entire quote — and the order in which the discounts are calculated.

  12. Free texts: introduction, closing and internal notes

The texts around the line items — with default texts from the document settings and one field the customer never sees.

  13. The number range for quotes

Prefix, year, sequential number: how quote numbers are created, where the scheme is configured — and which actions draw new numbers.

  14. Validity and expiration of quotes

Every quote has a valid-until date. What happens when it passes, why expiring isn't the end — and where the remaining time becomes visible.

  15. Cover page and appendix in the quote PDF

Attach your own cover page in front of and your terms and conditions behind every quote — unchanged, with no footer and no page number. Quotes already sent stay as they were.

  16. Your customer downloads their quote

The customer portal has its own box with a "Als PDF herunterladen" button. Your customer gets the quote without logging in — including after acceptance, rejection and expiry.

  17. Travel flat rate by distance

Set up a distance scale like "up to 10 km" once, enter the distance on the customer — and the quote suggests the matching flat rate as its own line item.

  18. Templates for other costs

Disposal, packaging, small parts: store recurring incidental costs once with a price and pick them in the "Add free position" dialog.
