Free texts: introduction, closing and internal notes

The texts around the line items — with default texts from the document settings and one field the customer never sees.

Between the salutation and the signature, a quote lives off its texts. They sit on the quote in the "Texts & details" card (sidebar → Offers → open the quote) — editable as long as the quote is in Draft status. By default, admin and planner may change them.

The fields

  • "Introduction text" — what goes above the line items: a reference to the on-site appointment, thanks for the inquiry.
  • "Closing text" — what follows below: payment terms, delivery deadlines, closing remarks.
  • "Internal notes" — with the clear note: "Visible internally only — not included in the PDF." The place for costing considerations and negotiation status.

All three hold up to 5000 characters — that applies to the fields in the quote itself; the introduction template in the document settings holds up to 2000 characters.

Default texts instead of typing

Anyone who doesn't want to re-write every quote stores templates under Settings → "Documents" in the "Template Texts" section (document settings, Admin only) — they are pre-filled for every new quote and can be adjusted per quote. The small-business note (Section 19 of the German VAT Act) also comes from there automatically into the quote.
