Access & accounts: inviting and managing users
Invite by email, assign roles, deactivate access — with a seat check, protective rules, and the reset effect when changing roles.
This is where the logins are created: "Manage system access, roles, and invitations." The Settings → "Accounts & Access" page sits directly below "Team" at the top of the settings menu and is purely an admin matter — only the admin sees the entry at all.
Inviting
"Invite user" requires an email and a role; optionally a team employee is linked right away, an existing one or one created directly at the same time. The invitation email is sent automatically, personalized with the business name; the invited person handles the rest themselves (Accepting an invitation). The link inside is valid for 7 days and can be used only once; after that, a new invitation is needed.
Beforehand, Gantway checks the seats: without a free license for the role, the notice appears with a link to the billing page. The license overview ("used / max" per role) is right on the page. An already registered email address cannot be invited again.
Roles and deactivation
- Role change comes with a clear warning: "If you change the role, all individual permission restrictions for this user will be reset." Anyone who did fine-tuning in the permissions management then does it again. The seats are swapped automatically.
- Deactivation reports: "The user can then no longer sign in." The team record and all data remain, and the seat is freed.
