How maintenance orders appear automatically

The daily run creates the order as a draft as soon as the lead time kicks in — what you see, who gets notified, and how to stop a contract.

Orders from a maintenance contract appear without you doing anything. You find them like any other order under sidebar → Orders, in Draft status.

When the run kicks in

Once a day, in the early morning hours, Gantway goes through all active contracts. An order is created as soon as due date minus lead time is reached or passed. With a due date of 1 October and 14 days of lead time, the order is in your list on the morning of 17 September.

Per contract, at most one order is created per run — for the most recent due date that is ready. Older due dates that were never served lapse without replacement; they are only counted and mentioned in the notification.

What you find in the order

  • Title: the contract title, a dash, the due date.
  • Draft status, planned start = the due date. A draft doesn't appear under "My Work" yet — it only becomes visible once you move it along the lifecycle.
  • Work steps from the stored template — without a template the order stays empty.
  • A marker "From maintenance contract" with the contract title at the top of the order; clicking it leads back to the contract. Only the roles that may open the maintenance contracts themselves see it — admins and planners. A team leader therefore finds the draft in the list without that hint: where the order came from is something the planner has to tell them.

The notification

At the same time, a notice titled "Wartungsauftrag erstellt" (maintenance order created) goes out — to the person responsible for the contract, otherwise to all admins and planners. It can carry three additions: that the order for the previous due date is still open, that older due dates have lapsed, or that the stored template is missing and the order was therefore created without work steps.

The history on the contract

Open the contract (sidebar → Maintenance contracts → click the row): under "Order history" you see every served due date with its order, that order's status and a note about lapsed due dates. If nothing has happened yet, the list says so plainly: "No automatically created orders yet. The daily run creates the order once the lead window is reached." The "Last completed" column shows when the most recent related order was completed.

Pausing, ending, deleting

The opened contract offers "Pause", "Activate", "End" and "Delete". A paused or ended contract can be picked up again via "Activate" — if its contract end lies in the past, Gantway asks for a new contract end first.
