Creating a maintenance contract
Set the interval, first due date, lead time and template — so the recurring order later appears on its own.

A maintenance contract creates its own orders. Setting one up takes a few minutes.
How to create a contract
- Open Maintenance contracts in the sidebar and click "Create contract" at the top right. If you start from the customer, use Customers → open the customer → tab "Maintenance" → "Create contract"; the customer is already fixed there. Both routes open the same form.
- Fill in the three required entries: "Customer" (not needed when coming from the customer record), "Title" (the field suggests "e.g. Annual heating maintenance") and "First due date".
- Set the rhythm in the "Every" row: a number from 1 to 60, plus "week(s)", "month(s)" or "year(s)".
- Set the "Lead time (days)" between 0 and 90.
- Add whatever else you need — task template, contract end, responsible person, notes (see below).
- Click "Save". Gantway confirms: "Maintenance contract created."
The page is reserved for admins and planners. The title reappears later in the title of every order created.
The rhythm
For months and years, the day of the first due date stays the anchor and survives every short month: a monthly contract starting 31 January is clamped to 28 February, but goes back to 31 March afterwards — it does not drift forward permanently. Weeks have no anchor; there it simply counts in seven-day steps.
Lead time
"Lead time (days)" determines how early the order appears: "The order is created this many days before the due date." It must be shorter than the interval, otherwise the next order would overlap the current one.
What is optional
- "Task template" sets the work-step template every generated order receives. The default is "No template (empty order)".
- "Contract end" must not lie before the due date. Once it has passed, the contract moves to "Ended".
- "Responsible" receives the notification when an order is created. Without an entry, "Notify all admins & planners" applies.
- "Notes" holds up to 2000 characters, for example "access via the back yard, key in the office".
