Booking in a delivery

The goods have arrived: there is no "goods receipt" movement type — a delivery is booked as a correction with a positive quantity. And what follows automatically.

The van has been and the boxes are in the warehouse. In Gantway this is booked as a correction with a positive quantity — there is no "goods receipt" movement type, and that is not an oversight: stock is a booking journal, and every upward movement is the same operation, whatever the reason behind it.

The route

Sidebar → Inventory → tab "Articles" → in the article's row click "Book". In the "Inventory Booking" form choose "Correction" as the "Movement type", enter the delivered amount as a positive figure under "Quantity" and fill in "Comment / Reason" — for corrections this is mandatory.

Use the reason for what is written on the delivery note: "Delivery Holz-Meier, note 4711". In six months that is the only record of where the goods came from. The fields in detail are covered in Correcting stock levels. By default admin, planner and purchasing/warehouse may book.

The second half-step: procurement follows along

Gantway reads a positive booking as goods received and tidies up procurement at the same time: material line items with the status "Ordered" jump automatically to "Delivered" — but only as far as the new stock actually covers their open demand. You book once, and the to-buy list is up to date afterwards.

The reverse is expressly not true: "Mark as delivered" in the to-buy list is a pure status change and does not touch stock at all. Gantway says so too — "Please don't forget to book the stock receipt for this material." If the booking never happens, the line item permanently reads: "Delivered, stock receipt not booked yet — the shortage stays open until the receipt is booked." This is the mistake that happens most often in daily work.

Partial delivery

Book what has arrived. As long as stock does not yet cover an ordered line item's open demand, it stays at "Ordered" — the shortage in the to-buy list shrinks by the booked amount all the same. When the rest of the delivery arrives you book again, and the status follows then.
