Contract & Legal: versions, copies, changes

Which version of the terms and the data processing agreement applies to your business, how to download a copy with a checksum, and what happens when the contract changes.

Your contract file sits under Settings → "Contract & Legal" (in the "Firma" section). Only Admin accounts can see the page. The page itself is in German; the labels are quoted below.

Applicable documents

The first card, "Geltende Dokumente" (applicable documents), names the versions that apply to your contract: the Allgemeine Geschäftsbedingungen (terms and conditions) and the Auftragsverarbeitungsvertrag (data processing agreement), each with a version number. "Ansehen" opens the full wording in a new window.

The "PDF" button downloads a copy for your records — the file is named something like Gantway-AVV-1.0.pdf. Its cover page carries the version, a checksum of the wording, your business name and the acceptance data (time, person, occasion); the footer repeats document, version and business on every page. That keeps it traceable later which wording was accepted when.

The Datenschutzerklärung (privacy policy) is deliberately not in this card: it is not accepted, it informs. It is available at any time via "Datenschutz" in the footer of the public pages.

Contract change notices

If something changes in the terms, the data processing agreement or the service providers used, it appears in the card "Mitteilungen zu Vertragsänderungen" (contract change notices) — with columns for "Mitgeteilt" (notified), "Änderung" (change), "Gültig ab" (effective from), "Empfänger" (recipient) and "Status". Below the title it says whether the notice was "per E-Mail zugestellt" (delivered by email) or "nur in der App" (in the app only).

The email goes to all active Admin accounts of the business, not only to whoever registered. It has no unsubscribe link because it is a contract notice, not marketing.

The lead time depends on the kind of change:

  • changing or adding a service provider: at least 30 days
  • changes to the terms and conditions: 42 days (six weeks)
  • purely editorial changes without a change of obligations: no lead time

The banner: consent or objection

While a notice is unanswered, it also appears as a banner above every page of the app — with title and effective date. Only the oldest open notice is shown; the rest stay visible in the card.

If the change requires your explicit consent, the banner says "Diese Änderung tritt nur mit Ihrer Zustimmung in Kraft." (this change only takes effect with your consent) and the button reads "Zustimmen" (consent). Otherwise it names the deadline ("Widerspruch möglich bis …", objection possible until …) and the button reads "Verstanden" (understood) — the acknowledgement is recorded.

"Widersprechen" (object) opens the "Der Änderung widersprechen" dialog. A reason is mandatory (up to 2,000 characters) and goes to the data protection team. The objection period ends on the effective date — objection is possible up to that day.

Acceptance history

The card "Annahme-Historie" (acceptance history) lists every recorded consent of your business with time, document, version, accepting person and occasion. The occasion appears as "Registrierung" (registration), "Kauf" (purchase) or "Erneute Annahme" (renewed acceptance). Entries are stored immutably; the 200 most recent ones are shown.
