Approving requests and recording absences

Decide on pending requests — with an eye on the affected orders — and record sick leave directly. Who can do what, from team lead to admin.

Absences in the sidebar holds everything managers decide about absences. For admin, planner and team lead the page has four tabs: "Pending Requests" — with a counter, so nothing is left lying around —, "Team Calendar", "All Absences" and "My Absences".

How to decide a request

  1. Open the "Pending Requests" tab.
  2. Check the task conflict warning on the request. It names the work steps the person is assigned to during the requested period: "This employee has {count} assigned task(s) in the requested period:". Nothing is blocked, but whoever approves knows what needs rescheduling.
  3. Click "Approve" or "Reject". A rejection requires a "Rejection Reason" (up to 500 characters); it reaches the requester.
  4. Gantway confirms with "Request approved." or "Request rejected." respectively.

Requests that have already been decided cannot be decided again. For approved ones there is the cancellation workflow.

How to record an absence directly

  1. Click "Record Absence" at the top right.
  2. Pick the person under "Select employee" — or "Myself".
  3. Pick the "Absence Type". Five types are available here: Vacation, Sick Leave, Special Leave, Unpaid Leave and Vocational School. The dialog points out: "Will be entered directly — without approval."
  4. Enter "From" and "To" and click "Record Absence". Gantway reports "Absence recorded."

The entry takes effect immediately. Backdating works for all types: the block on past periods applies only to your own request, not to an entry made by a manager. Every such entry carries the note "Recorded manually" for the employee.

Who is away and when? The whole team at a glance is in the team absence calendar, in the "Team Calendar" tab of the same page.
