Erasing customer data on a GDPR request
On an erasure request, name, contact details, address and notes are irreversibly redacted — orders and quotes remain as a deleted customer.
If a customer requests erasure of their data, the route is sidebar → Customers → open the customer → "Master Data" tab → "GDPR: erase data". Only the Admin sees the button, and it can be used only once per customer — afterwards it disappears.
What gets redacted
The "Erase personal data (GDPR)" dialog puts it plainly: "Name, contact details, address, notes and the customer data in offers are irreversibly redacted." In concrete terms, the following fields on the customer are emptied: Salutation, First Name, Company, Email, Phone, Street, ZIP, City, Notes, Website, VAT ID and all Tags; the Last Name is replaced with the stored value "Gelöschter Kunde" (deleted customer). The Customer No. stays — it is the bracket that keeps orders and documents connected.
The same fields are redacted in every quote of that customer, because the name is held there as a separate copy. Side effect: the portal link of those quotes stops working — the customer can no longer open their quote through it.
The customer is deactivated at the same time, and the action is recorded in the audit log. The customer file then carries the "Anonymized (GDPR)" marker.
What remains — and why
"Orders, offers, time entries and stock movements remain as 'Deleted customer' because they are subject to retention." So Gantway does not delete these records, it removes the personal reference from them: the order history, posted hours and stock movements stay complete, they simply no longer carry a name.
Not to be confused with
- Deactivating a customer only tidies up the selection lists. The data stays fully stored, and reactivating is possible at any time.
- Deleting your own account concerns a person's user access to Gantway, not a customer record in your customer list.
